Introduction

The major responsibility of the Directorate is to manage and coordinate routine academic activities related to students’ admission, registration, timetabling, examinations and organizing graduation ceremonies.  The Directorate is also the custodian of students’ academic records.

Structure of the Directorate

Headed by the College Registrar and reporting directly to the Principal, the Directorate is composed of three main units: i) Admissions, Registration and Student Records, ii) Examinations and Timetabling, and iii) Academic transcripts and degree certificates. The College Registrar is assisted by 4 staff in handling day to day activities of the Directorate.

Activities of the College Registrar’s office

Admission and Registration:

The College Registrar’s office is actively involved in the process of admission and registration of students in both undergraduate and postgraduate programs offered by the College. To ensure transparency and efficiency, the directorate follows laid down UR guidelines, procedures and regulations in relation to these activities.

Preparation of the Teaching Timetable:

 

In collaboration with schools, the Registrar’s office prepares the teaching timetable. The teaching timetable is normally released a few weeks before the beginning of each trimester. The timetable is designed using special software known as CELCAT which provides efficient management of classroom allocation to avoid clashes. For easy access by all users, the teaching timetable is normally posted on the College website.

Conduct of examinations:

Examinations are conducted in three sessions i.e. end of trimester one, end of trimester two and end of trimester three. Through the Examination Office, the College Registrar’s office oversees the conduct of examinations and all related preparations, including timetables, room allocation, multiplying and distribution of examination papers, dispatching and receiving examination booklets from examiners.

Management of students’ records:

The Registrar’s office is the custodian of all students’ academic records. In addition, the office is also in charge of preparing graduation lists, issuance of students’ transcripts and degree certificates at the end of the program. This centralized system facilitates easy access and retrieving of students’ academic records.

The College Registrar participates actively in the organisation of University graduation ceremonies.
